  • Cost of treatment for the POCO continues to rise – yet patient costs remain the same
  • Insurance costs rising – uninsured patients numbers rising
  • Financial profits for POCO down by 12% each year, for the past 4 years
  • POCO collections for patient balances are increasing

ProjectInstructions

You will review the project in five (5) parts. The project is designed for you to demonstrate your health information management knowledge and skills gained throughout your degree program.  It will also focus on the importance of identifying a problem for a health care organization, using management skills to resolve, technology and data considerations, and developing performance improvement initiatives. The Piedmont Overlook Care Organization will serve as a foundation for your project. You will use your own professional interests to formulate the project focus and development of performance improvement initiatives.

Part 1

Imagine that you were recently hired as a regional HIM manager for the Piedmont Overlook Care Organization (POCO). One of your first tasks is to compile a project plan to support organizational performance. The overall goal of the plan is to identify specific actionable items that can better position the organization for providing quality services and growth, using a performance improvement model and analysis.

For this part of the project you will complete a 2-page summary to explain preliminary action items, scope of project, and how to incorporate into a performance improvement plan. Use the case study information to formulate your summary. Your summary should outline:

  • Issues that should be addressed based on organizational challenges
  • Be sure to point out potential technology, performance, coding and reimbursement, data, and record management issues.
  • Overall goal of the project– what is the expected outcomes, such as improved financial outlook, better service, improved work processes, etc.
  • High-level description of action items to support the overall goal and organizational strategy – steps to achieve the goal
  • Description of performance improvement model Plan-Do-Check-Act (PDCA).
  • Support your summary and reasoning with cited references and resources.

Part 2

You received a memo from your manager asking about the progress of the performance improvement plan. She indicates that selecting an e-prescribing or CPOE function for the current electronic health record will be part of the overall plan to improve patient care. After your review, you realize that you need to complete a SWOT analysis. By performing a SWOT analysis, you can help plan and manage change. Understanding the internal and external environment is also critical to an effective performance improvement plan. For the external environment, look at opportunities and threats. For the internal environment, look at strengths and weaknesses.

For this part of the project you will complete two SWOT analysis tables to describe key opportunities, threats, strengths, and weaknesses in selecting an e-prescribing or CPOE function. You will create one table for an e-prescribing product/system and one table for a CPOE application/system.

Part 3

Now that you have an understanding of the factors that influence Piedmont Overland’s performance as well as the background information, you can select areas to focus on for your performance improvement plan.  Your plan should be strategic. A clear strategy helps to focus energy and resources, establish organizational direction, and strengthen operations where there are opportunities for improvement.

For this part of the project, you will compile a summary of your performance improvement initiatives. You will further describe in detail, your chose performance improvement model and how you plan to use it to carry out your initiatives and action items. To outline your action items, consider SWOT analysis outcomes, data management processes, data quality, technology challenges, resources and staffing, work processes, financials, and any information in the POCO case.

Part 4

With any project, it is important to consider risks, organizational culture, and ethical standards. During the course of your plan, you discover that there are pressing issues at one of the Overland clinics. The clinic has been over-utilized for the past year, resulting in stressed staffing, overwhelming costs, and decreasing quality of patient care and customer satisfaction. It has also experienced a significant increase in medication errors.

For this part of the assignment, you will adjust your performance improvement initiatives. You will write a summary to interpret and apply laws and ethical standards specific to the case. You will also determine risks and how to mitigate them using your performance improvement model.

Part 5

You schedule a meeting with a core group of managers. The purpose of the meeting is to review the project and gather additional feedback from the managers. During the meeting, several managers make comments regarding distribution of work and employee perspectives based on stereotypes. It was also discovered that there are many personality conflicts and issues with subordination. You encountered the conflict and degradation comments, first-hand during the meeting.

For this part of the project you will complete a summary to assess team performance, feedback mechanisms, and organizational culture. You will describe how your performance improvement model can help analyze data, check performance results, identify additional changes, and evaluate feedback.

Compile all the parts of your project into one document. Include an introduction and conclusion summary. Be sure to use proper APA format and references.

Part 6

Create a PowerPoint presentation to highlight the key components of your project. The presentation should also explain why performance improvement programs are evaluated and describe what organizations should do with the information gathered from the performance improvement program evaluation.  Your presentation should be professional and organized. You will use the narration application of PowerPoint to narrate/present your presentation. The PowerPoint should be a minumum of 10 slides with Voice Over Presenation.
